How do I change the Laboratory Options in LIMS-plus v5?

Lab Options allow the administrator to turn on and off various LIMS-plus v5 features specifically related to Labs. Click on the checkbox(es) next to the features to be turned on or off. All checked items are active (on) and unchecked items are inactive (off).

NOTE: Once Lab options are changed, the user will need to log out and back on again for the new options to take effect.

At least two permissions need to be added to a Security Role given to users who will be viewing and editing Lab Options:

  • Admin - Lab - Edit
  • Admin - Lab - View

Additional permissions need to be given for additional Lab tasks such as barcode settings management, exhibiting numbering, etc.

At a very minimum, users must be given the Admin - Lab - View permission. Users without the Admin - Lab - View permission will see a grayed out Lab command on the Admin menu and will not be able to access the Lab screen or the Lab Options screens for individual Labs.

Access Lab Options

To access Lab options, open the Admin menu and select Lab (1). This will open the Lab screen.

On the grid list of Labs, click on the Lab Options icon (2) for the specific Lab. This will open the Lab Option window.

Click on the checkbox(es) next to the features to be turned on or off. All checked items are active (on) and unchecked items are inactive (off). Click Save when finished. The user will need to log off and back on again for the changes to take effect.

Lab Options

The following are the available lab options:

Allow the same agency and agency case number pair to be related to multiple lab case files

This option allows the same Agency and Agency Case Number (ACN) pairs to be used on multiple LIMS-plus v5 lab case files.

NOTE: If the lab requires an Agency on every case (e.g., the lab option "Force Agency on Every Lab Case" is ON), the first step in case creation is an Agency/ACN search, which allows the user to determine if this Agency has submitted this case previously. If the Agency/ACN search finds a match to an existing case, there are two ways that the application can behave:

  • If the "Allow the same agency and agency case number pair to be related to multiple lab case files" option is ON, the user must choose whether to add additional information and/or exhibits to the case that already exists, or to create an entirely new case. This lab option can result in the creation of multiple lab cases with the same Agency/ACN.
  • If the "Allow the same agency and agency case number pair to be related to multiple lab case files" option is OFF, the user can only choose to add additional information and/or exhibits to the existing case.

This is an important decision to be made, since once a case is created, there is no way to merge that case with another one.

Allow the same agency to have multiple case numbers on one lab case file

If this option is checked, one Agency is able to be added multiple times to one lab case with different ACNs.

Allow Transitive Relationships Between Cases

Normally, if case A is related to case B, and case A is related to case C, case B and case C are not related (and, therefore, do not have a transitive relationship). With this option selected, if case A is related to case B, and case A is related to case C, case B and case C will also be related.

Always ask when removing items from a container during transfer

When this option is checked, a warning dialog appears when a user attempts to remove items from a container by transferring the items to a location other than the current location of the container.

Always use secure transaction.

If this option is selected, any transfer transaction involving lab staff will require the staff member to enter their PIN to verify their presence at the time of the transfer, regardless of whether the staff member is required to scan their barcode or has been selected using the No Barcode option (where the staff member is selected from a list).

Automatically Containerize Child Items

When selected, this option defaults an evidence item to inherit the parent and container relationships when using the Itemize Evidence command. A parent item that is also a container to its child(ren) will allow the user to transfer all "containerized" items using only the parent item barcode, or in the absence of a barcode, by selecting only the parent item. In contrast, if the parent item is not the container, evidence transfers must be performed by selecting all items independently.

Force Agency on Every Lab Case

When this option is selected, the user will be required to select an Agency as the first step of the case creation process. If an Agency Case Number (ACN) is provided at the time of the case creation, the application will automatically perform an Agency/ACN search. This prevents the user from accidentally creating two lab cases for the same Agency/ACN. This lab option is used in conjunction with the "Allow the same agency and agency case number pair to be related to multiple lab case files" lab option.

Force Evidence on Every Lab Case

If this option is selected, the user will be required to enter Evidence on every new Lab case.

This lab option is used in conjunction with the "Force Agency on Every lab Case" lab option. When both lab options are ON, the user is required to enter both an Agency and at least one Evidence item to be able to save the new case. If this lab option is set to ON but the "Force Agency on Every Lab Case" lab option is set to OFF, the user will be required to add at least one Evidence item to be able to save the new case.

It is highly recommended that at least ONE of these two options is selected, as it will prevent users from adding cases that contain no information.

Force User to Scan Agency Rep

When this option is selected, users will be required to scan the Agency Rep barcode when transferring evidence. The No Barcode option will not display the list of Agency Reps.

Force User to Scan Evidence

If this option is checked, users will be required to scan Evidence barcodes when transferring Evidence. The No Barcode option will not be available for selecting Evidence.

Force User to Scan Staff

When this option is selected, users will be required to scan their personal barcode or the barcode of any other Staff member involved in the transfer when transferring evidence. The No barcode option will not display the list of Staff members.

Force User to Scan Storage Location

When this option is selected, the analyst must scan the barcode for the corresponding location when transferring evidence. The No Barcode option will not display the list of Storage Locations.

Preserve Then To field in evidence transfer

If this option is selected, the location selected in the Then To field in the Evidence transfer will persist for all subsequent transfers in the LIMS-plus v5 session. It can be removed or changed if it is no longer the desired location.

Relationship Mapping: Communication Log to New Request - Prompt

This option determines whether or not the user receives a prompt to relate a Communication Log to a new Request. If this option is selected and

  • One or more Communication Logs exist for the open case: If the user adds a new Request and does not manually relate a Communication Log before clicking Save or Save & Add Another, the user will be prompted to relate a Communication Log to the Request. The user will not be required to relate a Communication Log unless the Communication Log to New Request - Required option is also checked.
  • No Communication Logs exist for the open case: The user will not be prompted to relate a Communication Log to the new Request.

Relationship Mapping: Communication Log to New Request - Required

If this option is selected, the user will be required to relate at least one Communication Log to the new Request. If no related Communication Logs exist before the user adds the new Request, the user will have to cancel out of the Request and add the related Communication Log(s) before re-entering the new Request.

Relationship Mapping: Crime Scene to New Request - Prompt

This option determines whether or not the user receives a prompt to relate a Crime Scene to a new Request. If this option is selected and

  • One or more Crime Scenes exist for the open case: If the user adds a new Request and does not manually relate a Crime Scene before clicking Save or Save & Add Another, the user will be prompted to relate a Crime Scene to the Request. The user will not be required to relate a Crime Scene unless the Crime Scene to New Request - Required option is also checked.
  • No Crime Scenes exist for the open case: The user will not be prompted to relate a Crime Scene to the new Request.

Relationship Mapping: Crime Scene to New Request - Require

If this option is selected, the user will be required to relate at least one Crime Scene to the new Request. If no related Crime Scenes exist before the user adds the new Request, the user will have to cancel out of the Request and add the related Crime Scene(s) before re-entering the new Request.

Relationship Mapping: Evidence to New Request - Prompt

This option determines whether or not the user receives a prompt to relate Evidence to a new Request. If this option is selected and

  • One or more Evidence items exist for the open case: If the user adds a new Request and does not manually relate Evidence before clicking Save or Save & Add Another, the user will be prompted to relate Evidence to the Request. The user will not be required to relate Evidence unless the Evidence to New Request - Required option is also checked.
  • No Evidence items exist for the open case: The user will not be prompted to relate Evidence to the new Request.

Relationship Mapping: Evidence to New Request - Require

If this option is selected, the user will be required to relate at least one Evidence item to the new Request. If no related Evidence items exist before the user adds the new Request, the user will have to cancel out of the Request and add the related Evidence items before re-entering the new Request.

Relationship Mapping: Individual to New Request - Prompt

This option determines whether or not the user receives a prompt to relate an Individual to a new Request. If this option is selected and

  • One or more Individuals exist for the open case: If the user adds a new Request and does not manually relate an Individual before clicking Save or Save & Add Another, the user will be prompted to relate an Individual to the Request. The user will not be required to relate an Individual unless the Individual to New Request - Required option is also checked.
  • No Individuals exist for the open case: The user will not be prompted to relate an Individual to the new Request.

Relationship Mapping: Individual to New Request - Require

If this option is selected, the user will be required to relate at least one Individual to the new Request. If no related Crime Scenes exist before the user adds the new Request, the user will have to cancel out of the Request and add the related Crime Scene(s) before re-entering the new Request.

Relationship Mapping: Investigation to New Request - Prompt

This option determines whether or not the user receives a prompt to relate an Investigation to a new Request. If this option is selected and

  • One or more Investigations exist for the open case: If the user adds a new Request and does not manually relate an Investigation before clicking Save or Save & Add Another, the user will be prompted to relate an Investigation to the Request. The user will not be required to relate an Investigation unless the Investigation to New Request - Required option is also checked.
  • No Investigations exist for the open case: The user will not be prompted to relate an Investigation to the new Request.

Relationship Mapping: Investigation to New Request - Require

If this option is selected, the user will be required to relate at least one Investigation to the new Request. If no related Investigations exist before the user adds the new Request, the user will have to cancel out of the Request and add the related Investigation(s) before re-entering the new Request.

Relationship Mapping: Offense to New Request - Prompt

This option determines whether or not the user receives a prompt to relate an Offense to a new Request. If this option is selected and

  • One or more Offenses exist for the open case: If the user adds a new Request and does not manually relate an Offense before clicking Save or Save & Add Another, the user will be prompted to relate an Offense to the Request. The user will not be required to relate an Offense unless the Offense to New Request - Required option is also checked.
  • No Offenses exist for the open case: The user will not be prompted to relate an Offense to the new Request.

Relationship Mapping: Offense to New Request - Require

If this option is selected, the user will be required to relate at least one Offense to the new Request. If no related Offenses exist before the user adds the new Request, the user will have to cancel out of the Request and add the related Offense(s) before re-entering the new Request.

Relationship Mapping: SOP to New Request - Prompt

This option determines whether or not the user receives a prompt to relate an SOP (Standard Operating Procedure) to a new Request. If this option is selected and

  • One or more SOPs exist for the open case: If the user adds a new Request and does not manually relate an SOP before clicking Save or Save & Add Another, the user will be prompted to relate an SOP to the Request. The user will not be required to relate an SOP unless the SOP to New Request - Required option is also checked.
  • No SOPs exist for the open case: The user will not be prompted to relate an SOP to the new Request.

Relationship Mapping: SOP to New Request - Require

If this option is selected, the user will be required to relate at least one SOP (Standard Operating Procedure) to the new Request. If no related SOPs exist before the user adds the new Request, the user will have to cancel out of the Request and add the related SOP(s) before re-entering the new Request.
