Most Laboratories need to keep track of any subpoenas that are submitted to Staff Members. The subpoena functionality in the LIMS-plus v5 application can be used to notify Staff Members when subpoenas arrive for them.
From the Others => Activity Menu
Open the Others menu and select Activity.
Select the Discipline (1) and then select Court from the Type picklist (2).
Click the Add Subpoena button.
In the Add Subpoena window, enter at least the Description (1), Performed By person (5), Agency Type (6), Agency (7), ACN (10), Assigned To person(s) (12), and a more detailed Description (13). The Note (2), Start and End Date (3), Division (8), Subpoena Type (9), and Due Date (14) are optional.
To pre-confirm acknowledgment of the subpoena, place a checkmark in the Acknowledge checkbox (11).
To set the court date, enter a date in the Due Date (14) field. If a Start and End Date (and time) are entered, the application will calculate the duration.
To relate Offenses or Individuals from the case, add the ACN for the case (10), click on the appropriate icon in the lower left-hand corner of the window (15), and select the entity to be related.
Click Save when finished.
From the Others => Subpoena Menu
To add a subpoena without first specifying the Discipline, open the Others menu and select Subpoena.
Click the Add Subpoena button.
Enter at least the Agency Type (1), Agency (2), ACN (5), Assigned To person(s) (7), and a Description (8). To pre-confirm acknowledgment of receipt, place a checkmark in the Acknowledge checkbox (6). To set the court date, enter a date in the Due Date field (9).
To relate Offenses or Individuals from the case, add the case ACN and then click on the appropriate icon in the lower left-hand corner of the window (10).
Click Save (11) when finished.
Acknowledge Receipt, Add Attachments, Edit or Delete
Once the subpoena has been added, additional functions will become available: acknowledge receipt, add attachments, edit, and delete.
If the subpoena has been acknowledged, the Acknowledge icon (1) will be white. If it is green, click on it and click the Yes button to confirm acknowledgment.
To add an attachment to a subpoena, click the Add Attachment paperclip icon (2) for that subpoena.
To edit the subpoena, click on the Edit icon (3).
To delete the subpoena, click on the Delete icon (4).
Add an Attachment
After clicking on the Add Attachments paperclip icon, the Attachments window will open for that subpoena. Files can be uploaded or attached by a link (URL). Select either Upload Attachment or Link Attachment, then either browse and add the file or enter the URL. If browsing to attach a file, click the Upload button. After at least one attachment has been added, the list will appear in the lower portion of the Attachments window. Click Close when finished.
Confirm Receipt of Subpoena
After logging in, users can see newly entered subpoenas. If the subpoena has already been acknowledged, the Acknowledge icon will be white. If the icon is green, click it and then click Yes to confirm acknowledgment of the subpoena.
Export or Print the List of Subpoenas
To export the list of Subpoenas to HTML or Excel, or to print the list, click on the Export icon.
The list of Subpoenas will appear in HTML format on a separate web page. From there, click the Print button to print the list, or click the Export to Excel button to perform that task. If the Export to Excel feature is used and the user has Excel installed on the computer, there will be an option to open the list in Excel. Otherwise, the file can be saved as an XMLReport.csv file.
