How do I set which pages or fields are visible to users in the Receive Evidence Wizard?

For organizations that do not use all of the available sections for receiving evidence (e.g., case Agency, Individual, Offense, Evidence, Information, and Attachments), the unused sections can be hidden from view in ChainLinx. Alternatively, certain labels, buttons, links, and other fields can be removed from one or more of the Receive Evidence Wizard screens.

Hiding/showing components and screens is configured on the UI Visibility Configuration Screen.  (UI is an acronym for User Interface.)

Note: ChainLinx Administrators will need to be assigned to a security role with the following permissions granted:

  • Administration - Admin Section
  • UI Visibility Config - Edit
  • UI Visibility Config - View

Access the UI Visibility Configuration Screen

To access the UI Visibility Configuration screen, expand the Admin section on the Quicklist, then expand the User Interface subsection and click the UI Visibility link.

Hide/Show Sections of Receive Evidence Wizard

On the UI Visibility Configuration screen, the Receive Evidence Wizard screen is currently the only available option in the drop-down list. Under the Page Name heading is a list of the different sections (pages or screens) available for the Receive Evidence Wizard, which users use to enter Evidence information. Entire sections of the Receive Evidence Wizard can be hidden for all users by removing the checkmark in the checkbox for that wizard section/screen in the list.

For example, if Individuals are never added to Evidence items, the entire Individuals screen can be removed from the Receive Evidence Wizard by removing the checkmark in the checkbox for Case Individual Tab in the list.

Individual components for a section/screen can be hidden (or shown) by expanding that section in the list. For example, to expand the Case Agency Tab to see the components available in the Agency screen in the Receive Evidence Wizard, click the plus sign to the left of Case Agency Tab.

Checkboxes and checkmarks that are grayed out (unavailable) in the Visible column on the UI Visibility Configuration screen indicate sections of the Receive Evidence Wizard that cannot be hidden, but some components of that screen may be hidden by expanding the page name in the list and removing the checkmarks from the individual components.

When finished making changes on components and screens/sections that are to be hidden or shown, click the OK button. Click Cancel to return to the Dashboard without saving the changes.

Case Agency Tab

The Case Agency section of the Receive Evidence Wizard has four components that can be hidden or shown on that screen (see image below).

A checkmark in the checkbox on the UI Visibility Configuration screen (with the Case Agency Tab section expanded) means the component is visible; remove the checkmark to hide the component so that users cannot see (or use) it on the Receive Evidence's Agencies screen.

The four components that can be hidden or shown on the Receive Evidence Wizard's Agencies screen are as follows (the numbers in parenthesis correspond to their locations on the screen as shown in the above image):

  • Agency Rep Name (1) - Hiding this field and drop-down list will mean that users will not be able to select an Agency Rep from the list and the field will no longer be a required field.
  • Add Agency Rep Button (2) - Hiding this button means users will not be able to add new Agency Reps through this screen (please see the topic on adding Agency Reps).
  • Add Agency Button (3) - Hiding this button will prevent users from being able to add new Agencies through this screen (please see the adding Agencies topic).
  • Case Agency Attachments (4) - Hiding this button (and label) means users will not be able to add attachments through this screen.

Case Individual Tab

The Case Individual section of the Receive Evidence Wizard has 14 components that can be hidden or shown on that screen (see image below).

A checkmark in the checkbox on the UI Visibility Configuration screen (with the Case Individual Tab section expanded) means the component is visible; remove the checkmark to hide the component so that users cannot see (or use) it on the Receive Evidence's Individuals screen.

The 14 components that can be hidden or shown on the Receive Evidence Wizard's Individuals screen are as follows (the numbers in parenthesis correspond to their locations on the screen as shown in the above image):

  • Person Details (1) - Hiding this section will mean that users will not be able to add details about an Individual.
  • Organization Details (2) - Hiding this section will prevent users from adding details about an organization.
  • Minor Status (3) - Hiding this checkbox will prevent users from specifying whether or not the Individual is a minor.
  • Race (4) - Hiding this drop-down list will prevent users from selecting a Race from the list.
  • Add Race Button (5) - Hiding this button means users will not be able to add new Races through this screen (please see the topic on Working with Picklists).
  • Add Individual Type Button (6) - Hiding this button will prevent users from being able to add new Individual Types through this screen (please see the Working with Picklists topic).
  • DL State (7) - Hiding this drop-down list will prevent users from selecting a Drivers License State.
  • DL Number (8) - Hiding this textbox will prevent users from entering Drivers License Numbers.
  • Telephone Number (9) - Hiding this textbox will prevent users from entering a telephone number.
  • Email (10) - Hiding this textbox will prevent users from entering an email address.
  • Address Details (11) - Hiding this section will prevent users from entering address information such as street address, city, state, and zip code.
  • Case Individual Attachments (12) - Hiding this button (and label) means users will not be able to add attachments through this screen.
  • Gender (13) - Hiding this drop-down list will prevent users from specifying an Individual's gender.
  • Individual DOB (14) - Removing this field will prevent users from entering an Individual's Date of Birth.

Case Offense Tab

The Case Offense section of the Receive Evidence Wizard has three components that can be hidden or shown on that screen (see image below).

  • Offense Category (1) - Hiding this drop-down list will mean that users will not be able to add Offense categories.
  • Case Offense Attachments (2) - Hiding this button will prevent users from adding attachments through this screen.
  • Address Details (3) - Hiding this section will prevent users from adding address details on this screen.

Case Evidence Tab

The Case Evidence section of the Receive Evidence Wizard has nine components that can be hidden or shown on that screen (see image below).

The nine components that can be hidden or shown on the Receive Evidence Wizard's Items screen are as follows (the numbers in parenthesis correspond to their locations on the screen as shown in the above image):

  • Evidence Geneological View (1) - Hiding this option will prevent users from being able to see the Evidence items in geneological view.
  • Evidence Containership View (2) - Hiding this option will prevent users from being able to see the Evidence items in contain view.
  • Evidence Serial Number (3) - Hiding this textbox will prevent users from being able to enter Evidence item serial numbers.
  • Evidence Parent (4) - Hiding this drop-down list will prevent users from selecting the parent item for Evidence.
  • Evidence Container (5) - Hiding this drop-down list will prevent users from specifying Evidence item containers.
  • Evidence Owner (6) - Hiding this drop-down list will prevent users from selecting an Evidence item owner.
  • Evidence Finder (7) - Hiding this drop-down list will prevent users from selecting an Evidence item finder.
  • Evidence Origin (8) - Hiding this drop-down list will prevent users from selecting the Evidence item's origin.
  • Hold (9) - Hiding this checkbox will prevent users from specifying whether or not the Evidence item is on hold.

Case Info Tab

The Case Info section of the Receive Evidence Wizard has only one component that can be hidden or shown on that screen (see image below).

A checkmark in the checkbox on the UI Visibility Configuration screen (with the Case Info Tab section expanded) means the component is visible; remove the checkmark to hide the component so that users cannot see (or use) it on the Receive Evidence's Case Notes screen.

The component that can be hidden or shown on the Receive Evidence Wizard's Case Notes screen is:

  • Case Info Attachments - Hiding this button will prevent users from being able to add attachments on this screen.

Case Attachments Tab

There are no components on the Case Attachment screen that can be hidden.

Case Summary Tab

The Case Summary section of the Receive Evidence Wizard has 21 components that can be hidden or shown on that screen (see image below).

A checkmark in the checkbox on the UI Visibility Configuration screen (with the Case Summary Tab section expanded) means the component is visible; remove the checkmark to hide the component so that users cannot see (or use) it on the Receive Evidence's Summary screen.

The 21 components that can be hidden or shown on the Receive Evidence Wizard's Summary screen are as follows (the numbers in parenthesis correspond to their locations on the screen as shown in the above image):

  • Case Agency Summary (1) - If the checkmark is removed from this checkbox, users will not see the Case tab (or anything in that tab section) on the Summary screen in the Receive Evidence Wizard.
  • Case Agency Summary Edit Button (2) - Hiding this button on the Case tab will prevent users from being able to edit the Agency, Agency Rep, ACN, or other Warrant-related information that was entered on the first screen of the Receive Evidence Wizard.
  • Case Agency Summary Delete Button (3) - Hiding this button on the Case tab will prevent users from being able to delete cases from this screen.
  • Case Agency Summary Attachments Button (4) - Hiding this button will prevent users from adding attachments on this screen.
  • Case Individual Summary (5) - If the checkmark is removed from this checkbox, users will not see the Individuals tab (or anything in that tab section) on the Summary screen in the Receive Evidence Wizard.
  • Case Individual Summary Edit Button - Hiding this button on the Individuals tab section will prevent users from being able to edit previously entered information about Individuals.
  • Case Individual Summary Delete Button - Hiding this button on the Individuals tab section will prevent users from being able to delete Individuals from that screen.
  • Case Individual Summary Attachments Button - Hiding this button will prevent users from adding attachments via the Individuals tab section.
  • Case Offense Summary (6) - If the checkmark is removed from this checkbox, users will not see the Offenses tab (or anything in that tab section) on the Summary screen in the Receive Evidence Wizard.
  • Case Offense Summary Edit Button - Hiding this button on the Offenses tab section will prevent users from being able to edit previously entered information about Offenses.
  • Case Offense Summary Delete Button - Hiding this button on the Offenses tab section will prevent users from being able to delete Offenses from that screen.
  • Case Offense Summary Attachments Button - Hiding this button on the Offenses tab section will prevent users from being able to add attachments via the Offenses tab section.
  • Case Items Summary (7) - If the checkmark is removed from this checkbox, users will not see the Items tab (or anything in that tab section) on the Summary screen in the Receive Evidence Wizard.
  • Case Items Summary Edit Menu - Removing the checkmark from this checkbox will cause the Edit Item command on the left-click context menu to become unavailable (grayed out or not listed) and users will not be able to edit previously entered Evidence items from the Items tab section on the Receive Evidence Wizard.
  • Case Items Summary Delete Menu - Removing the checkmark from this checkbox will prevent users from being able to delete Evidence items from the Item tab section in the Receive Evidence Wizard.
  • Case Items Summary Attachments Menu - Removing the checkmark from this checkbox will prevent users from being able to add attachments to Evidence items via the Items tab section in the Receive Evidence Wizard.
  • Case Attachment Summary (8) - If the checkmark is removed from this checkbox, users will not see the Attachments tab (or anything in that tab section) on the Summary screen in the Receive Evidence Wizard.
  • Case Attachment Summary Open Attachment Menu - Removing the checkmark from this checkbox will prevent users from being able to open attachments from the Attachments tab section in the Receive Evidence Wizard.
  • Case Attachment Summary Delete Attachment Menu - Removing the checkmark from this checkbox will prevent users from being able to delete attachments from the Attachments tab section in the Receive Evidence Wizard.
  • Case Attachment Summary Entity Add Attachment Menu - Removing the checkmark from this checkbox will prevent users from being able to add attachments to Evidence items on the Attachments tab section in the Receive Evidence Wizard.
  • Case Attachment Summary Entity Remove Attachment Menu - Removing the checkmark from this checkbox will prevent users from being able to delete (remove) attachments to Evidence items on the Attachments tab section in the Receive Evidence Wizard.
