What are Role Permissions and which permissions are needed for certain ChainLinx features?

By granting permissions to security roles and assigning users to those role, users can perform functions in the application related to their job duties.

Notes:

  • If a user has been given more than one security role, the permissions that have been granted will override the ones that have not been granted. For example, if a user is given (assigned to) one security role that does not have the permissions to view and edit Offenses, but has also been given an additional security role that does have those permissions, the user will be able to view and edit Offenses.
  • The "View" permission for each set of permissions (e.g., Agency Reps - View Agency Reps) controls whether or not the user will be able to see the associated link in the Quicklist and be able to access the screen. For example, if a user is assigned a security role that has the permissions granted to add, delete, and update Agency Reps, but does not have the Agency Reps - View Agency Reps permission granted, that user will not be able to access the Agency Reps link on the Quicklist or the Agency Reps Master screen in order to add, delete, or update Agency Reps. If a set of permissions does not include a "View" permission, granting any of the permissions in that set will also allow users access to the link in the Quicklist and the associated screen.
  • Permissions are also a good source to refer to for troubleshooting.  If a user cannot access a link, a screen, or a feature of ChainLinx, double-check that the security role(s) to which the user is assigned have the correct permissions granted.

Access the Role Permissions

In the Quicklist, click either the Admin link or the plus (+) sign next to it to expand the Admin section, if necessary. Click on the Role Permissions link to access the Role Permission Access screen.

Permissions and storage locations can be assigned to specific roles by placing checkmarks in the associated checkboxes.

To view only the permissions related to system administration, select the System option (1) at the top of the screen. To view and select or deselect some or all of the permissions, select the All option (2).

Place a checkmark in the checkbox (3) next to any of the permissions that will be assigned to this role. To assign storage locations to this role (and, therefore, to the users who will be assigned this role), place a checkmark in the storage location checkboxes (4).

Click OK when finished. Clicking Cancel will cancel the selection process and return the user to the Role Permission Access screen.

Available Permissions

Most of the functions available in ChainLinx have associated permissions to allow or prevent users from performing the specific functions. In some cases, not having a certain permission may prevent a user from accessing specific links in the Quicklist. Any permissions can be granted to any security role. The available permissions are as follows:

  • ACN Lookup - Perform - Users have access to the Agency Case Number lookup link in the Quicklist (in the Lookup subsection) and can conduct lookups (searches) based on Agency Case Numbers.
  • Activity - Add Activity - Users can add new Activities.
  • Activity - Delete Activity - Users can delete Activities.
  • Activity - Update Activity - Users can update (edit) Activities.
  • Activity - View Activity - Users can view Activities.
  • Administration - Admin Section - Users can access the Admin link on the Quicklist. This is a system level permission and controls access to system administration.
  • Agency - Add Agency - Users can add Agencies.
  • Agency - Delete Agency - Users can delete Agencies.
  • Agency - Update Agency - User scan update (edit) Agencies.
  • Agency - View Agency - Users have access to the Agency link on the Quicklist and can view Agencies on the Agency Master screen.
  • Agency Reps - Add Agency Reps - Users can add Agency Representatives.
  • Agency Reps - Delete Agency Reps - Users can delete Agency Reps.
  • Agency Reps - Update Agency Reps - Users can update (edit) Agency Reps. 
  • Agency Reps - View Agency Reps - Users have access to the Agency Reps link on the Quicklist (in the Agency subsection) and can view Agency Reps on the Agency Reps Master screen.
  • Agency Type - Add Agency Type - Users can add Agency Types.
  • Agency Type - Delete Agency Type - Users can delete Agency Types.
  • Agency Type - Update Agency Type - Users can update Agency Types.
  • Agency Type - View Agency Type - Users have access to the Agency Type link on the Quicklist (in the Agency subsection) and can view Agency Types on the Agency Type Master screen.
  • Approval - Perform - Users can perform Approvals (e.g., approve or deny).
  • Audit Log Lookup - Perform - Users have access to the Audit Log lookup link on the Quicklist (in the Lookup subsection) and can conduct lookups (searches) for audit logs.
  • Audit Trail Lookup - Perform - Users can perform (conduct) lookups (searches) on audit trails.
  • Barcode - Add Barcode - Users can add barcodes.
  • Barcode - Delete Barcode - Users can delete barcodes.
  • Barcode - Update Barcode - Users can update barcodes. 
  • Barcode - View Barcode - Users can view barcodes.
  • Case Attachments - Add - Users can add attachments to cases.
  • Case Attachments - Remove - Users can remove attachments from cases.
  • Case Attachments - View - Users can view case attachments.
  • Case Individual - Edit - Users can edit case Individuals.
  • Case Item - Edit - Users can edit case Evidence items.
